How to document your processes as SOPs with AI

Turn tacit knowledge trapped in your team's heads into written SOPs that new hires can actually follow.

Before you start

  • A repeatable process someone on your team does today
  • A screen recorder

Tools you'll use

  • Loom
  • Otter
  • SynaBot

Steps

  1. 1

    Screen-record the process

Do the task while narrating what you're doing. Loom, QuickTime or ChatGPT voice mode all work.

  2. 2

    Transcribe

Get a transcript. Otter, Fireflies or the built-in tool from your recorder.

  3. 3

Feed it to the assistant with a template

Prompt: "Turn this transcript into an SOP with: Purpose, Owner, Prerequisites, Numbered steps, Common mistakes, Definition of done."

  4. 4

Have someone else follow it, cold

The SOP is not done until someone who wasn't in the recording can complete the task from it.

  5. 5

Store it where people will actually look

In the tool where the work happens. Notion, Slite, or embedded in your task template.

What you'll have at the end

A written SOP for one repeatable process, tested by someone who did not write it.
